Description

We are a US-based organization seeking one motivated Administrative Assistant to join our Operations team in a fully remote, night shift capacity. In this role, you will provide essential day-to-day administrative support, handle insurance verification, and help keep workflows organized and efficient across departments. Duties and Responsibilities

  • Manage and maintain executive calendars, schedule appointments, and coordinate meetings to

ensure smooth daily operations across the team

  • Handle email correspondence professionally and promptly, drafting, organizing, and routing

communications to appropriate departments or personnel

  • Perform accurate data entry and maintain organized filing and record-keeping systems, ensuring all

documents are up to date and easily retrievable

  • Support insurance verification processes, assist with insurance-related inquiries, and maintain

accurate records of insurance documentation and patient communication

  • Oversee platform management tasks using tools such as Office Ally and SimplePractice, ensuring

data integrity and consistent use of Microsoft Office Suite and Google Workspace for all administrative functions

Qualifications

  • Bachelor's degree in Business Administration, Operations Management, Human Resources, Education, Communications, or a related field.

  • 1–3 years of experience working in the healthcare industry.

  • Strong proficiency in using insurance verification platforms, particularly Office Ally and Skillful Practice.

  • Solid understanding of insurance terminology, verification processes, and workflows, enabling minimal onboarding and training.

  • Excellent organizational and problem-solving skills with the ability to manage tasks efficiently.

  • Assertive, self-driven, and able to work independently with minimal supervision.

  • Demonstrates initiative, accountability, and the ability to take ownership of responsibilities without requiring micromanagement.
